Compliance

A HIPAA-compliant outbound call center, built for telehealth.

Your partials are patients. ValueLoop was designed around protected health information from day one, with a BAA for every brand, data on our own infrastructure, and compliance checks before every single dial.

Why it matters

Outbound calling is where telehealth data gets exposed.

The moment a brand hands its partials to an outside team, protected health information leaves its walls. Names, phone numbers, the product a patient was considering and their intake answers are all PHI.

Many call centers were built for insurance or solar leads and added HIPAA later. ValueLoop was built for telehealth from the start, so the safeguards are part of how the floor works, not a policy document on a shelf.

For your compliance team, that means a signed BAA, clear answers on where data lives, and controls you can audit.

Safeguards

How we protect your patients’ data.

Business Associate Agreements

A BAA with every brand and with every vendor in our stack that handles protected health information.

Minimum necessary access

Agents see only what the call needs. Access is role-based, protected with MFA and removed the day someone leaves.

Encryption and audit logs

Data is encrypted in transit and at rest, and system activity is logged for monitoring and investigations.

Our own infrastructure

Recordings and call data live on ValueLoop’s infrastructure, not the dialer’s, with short, fixed retention.

Trained people

HIPAA training for every agent and manager before the first call, refreshed on a schedule, with role-specific rules.

Incident response

Documented procedures to identify, contain and report potential incidents, with clear owners for each step.

Calling compliance

HIPAA is half the job. The call itself has rules too.

Our hub checks every partial against federal and state calling rules before it ever reaches an agent.

State calling hours

Every call is scheduled inside the legal window for the patient’s state, including stricter state rules.

Consent

We call partials who submitted their number on your site, with the consent language you collect.

Do-not-call

“Not interested” goes on our DNC list instantly, and your own DNC pushes are honored automatically.

No medical advice

Agents follow your approved script. Clinical questions go to your licensed providers.

FAQ

HIPAA call center questions.

Do you sign a Business Associate Agreement?

Yes. We sign a BAA with every brand before we receive a single lead, and we hold BAAs with the vendors in our stack that touch patient data.

Where is patient data stored?

On ValueLoop’s own infrastructure, not on the dialer’s servers. Access is limited by role, protected with multi-factor authentication and recorded in audit logs.

How long do you keep call recordings?

Only for a short, fixed period used for quality review and coaching. After that, recordings are deleted automatically.

Are your agents trained on HIPAA?

Every agent, team leader and manager completes HIPAA training before their first call and on a regular schedule after that. Access is removed the day someone leaves.

Do you follow state calling-hour rules?

Yes. Our hub schedules every call inside the legal calling window for the patient’s state, checks consent and do-not-call status, and blocks the call if any check fails.

Are you SOC 2 certified?

Our SOC 2 Type II audit is in progress, with controls monitored continuously on a compliance automation platform. We share our current status and policies with brands on request.

Send us your compliance questionnaire.

We will answer it, walk your team through our safeguards and send our BAA for review. Then we talk about your partials.
